Start with the address, callback number and what is happening now. Name the affected room or fixture and describe whether water is still appearing or the situation is changing. If someone else is at the property, explain who can provide access.
State any known danger clearly. Do not delay seeking appropriate emergency help to assemble photographs or paperwork. This page is a communication checklist, not instructions for handling an electrical, gas or sewage hazard.
Separate observations from assumptions
Describe what you can already observe safely. “Water appears below the sink when the dishwasher drains” is more specific than naming an unconfirmed failed part. Mention recent work or earlier incidents as background, without treating them as an established cause.
If available, have existing model information or service records ready. There is no need to dismantle equipment or enter a hazardous area to improve the description.
Confirm the immediate next step
Ask about current availability for the address, access arrangements and any initial assessment or call-out charges. Do not assume a response time from a general service claim.
When discussing proposed work, clarify what addresses the immediate problem and what would require a separate decision. Keep the resulting record so follow-up repairs, restoration and any building-management communication can be discussed with the same information.
