Map the observations room by room
When more than one fixture is affected, make a short list by room. Record whether each issue concerns supply, hot water, drainage or visible water. Note whether the symptoms began together and whether using one fixture changes what happens elsewhere.
Keep observations separate from conclusions. Several symptoms occurring together can be important context, but an enquiry alone cannot establish that the same component caused all of them.
Add the property and work history
Include recent plumbing work, known repairs and any reports already available. For a multi-unit building, say whether the observations are limited to your unit or have also been reported elsewhere.
Identify the person who can arrange access to common areas or authorize work. Avoid entering restricted or hazardous areas simply to complete the list.
Ask for a defined assessment
Ask which part of the system will be assessed first and what would prompt additional investigation. A written scope helps distinguish diagnosis from an assumed replacement of several fixtures.
